About This Position
Brightworks Sustainability is seeking an Operations Assistant to join our team in our Portland office in Old Town/Chinatown.
The ideal candidate should be a highly organized, independent, problem-solver who can manage and prioritize a long list of diverse tasks. They should also be flexible and eager to support a fast-paced and growing organization, have an upbeat attitude, and be passionate about sustainability, especially as it relates to the role of supporting the logistics of an office and firm of sustainability professionals.
This person will primarily support the functions of Finance and Human Resources and will also serve the role of a front desk receptionist for Brightworks as well as our sub-tenants who we share office space.

Job Duties
Finance
· Delivers invoices to clients within established timeframes
· Supports Operations Coordinator with project setup reviews in project management software (CMAP)
· Supports accounts receivable activities, such as weekly check deposits, collecting on outstanding accounts and entering paper checks and ACH receipts into all applicable systems
· Supports accounts payable activities, such as filing paid invoices, reviewing expense report documentation, and entering all non-project related vendor invoices
Human Resources
· Posts jobs to individual job boards & expense entry
· Schedules interviews and files interview notes
· Assist with new hire onboarding
· Tracks quarterly check-in notes
· Completes annual benefits open enrollment on insurance carrier’s websites
· Processes new hire benefit enrollments & employee benefit cancellations
· Coordinate exit interviews
· Updates employee personnel data changes such as address, name, or benefits changes
· Maintains employee records
· Maintains confidentiality of employee and candidate information
· Orders & posts state employment law posters annually & when new states are added or occasional mid-year updates
Business Administration
· Works with Operations Coordinator to support client contracts processes
· Works with Operations Coordinator to support business registration processes
Office Management
· Assists reception and answers main line when needed
· Tracks Portland office waste using data from cleaning vendor to inform internal environmental efforts
· Sorts and scans mail to appropriate destinations
· Maintains inventory of office keys and keycards
· Monitors office supplies and provides lists to Operations Coordinator to make purchases
· Manages employee anniversary card distribution
· Maintains annual holiday calendar invites and sends holiday timesheet reminders
Principal Support
· Assisting expense report entry
· Scheduling assistance
· Coordinating internal operational projects
Requirements
We are seeking someone with experience in a fast-paced professional environment, with a basic understanding of good office/business practices.
· This position needs someone that can adapt quickly and is willing to do “other duties as assigned”
· Understand how to utilize down time, and how to prioritize when it’s busy
· High attention to detail and consistent accuracy
· Ability to complete lengthy data entry assignments
· Problem assessment and problem-solving
· Ability to be resourceful and proactive when issues arise
· Has a desire to learn a variety of tasks and able to pick up on new tasks quickly
· Excellent people and communication skills (verbal and written)
· Excellent organizational skills
· Able to work independently, and with colleagues who often work remotely
· Operates and troubleshoots office machines
· Display professionalism and provide necessary information to clients
· Able to retrieve all necessary information from client about inquiry

Education Requirement
· High School Diploma
Experience Required
· Two years’ experience in a professional office setting
Salary
The annual salary for this position is $47,500 - $55,000 commensurate with experience and qualifications.
