Our San Francisco office is seeking an organized and talented Administrative Coordinator. This position will be an integral part of the IT/Facilities team that ensures the efficient operation of the San Francisco headquarters by performing necessary organizational and administrative responsibilities.

POSITION SUMMARY:

The Administrative Coordinator provides office management for the San Francisco office as well as administrative support for the IT department.

RESPONSIBILITIES & ESSENTIAL FUNCTIONS:

General office management support for the San Francisco office, including the following:

  • Provide the central point of contact for communication with property management, building security and TPL staff regarding office repairs, and maintenance;

  • Manage the local photocopier, printers and toner, paper supply, postage machine, and other office equipment;

  • Proactively engage with leadership and staff to anticipate office needs and workplace improvements;

  • Manage distribution and recovery of building security badges;

  • Manage relationships with vendors related to office equipment;

  • Process invoices related to office supplies, office vendors and IT procurement;

  • Sort incoming and prepare outgoing mail and shipments, and maintain all mailing supplies, including postage, meter, and mailing labels;

  • Manage reservations of SF conference rooms and hoteling offices in Outlook;

  • Scan incoming paper mail to Wells Fargo processing account as appropriate;

  • Arrange periodic e-waste removal;

  • Manage TPL’s main voice mailbox in Teams and forward incoming messages to appropriate department;

  • Order and maintain office and kitchen supply levels and kitchen appliances; and

  • Help coordinate and plan periodic office events.

Administrative support to the IT Department includes the following:

  • Address incoming tickets for IT peripheral requests including monitors, keyboards, mice, printers and other requests;

  • Manage the Amazon account for peripheral orders including address books, payments, credits and package tracking;

  • Perform basic data entry of staff directory information including title and department changes;

  • Manage staff hardware returns as part of staff departure process.

  • Manage IT intranet page, keeping posted documentation current and responding to questions.

QUALIFICATIONS

  • 5-8 years of office management and administrative support experience or equivalent.

  • Strong commitment to excellent customer service.

  • Excellent written and oral communication skills. Demonstrated ability to work well with others, including staff from all grade levels and functional areas.

  • Excellent organizational abilities, attention to detail, promptness and dependability.

  • Ability to work with a high degree of self-direction and flexibility, especially with respect to taking initiative, prioritizing multiple tasks, and using good judgment to resolve problems.

  • Computer proficiency in Microsoft Teams, Word, Excel, and Outlook is required.

Trust for Public Land has a flexible work environment, and this position is eligible to work-from-home up to 4 days per week.

As a full-time non-exempt employee, you will be eligible for Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, vacation, 16 holidays, and a 403(b) retirement plan, currently with an up to 7% company match. We offer competitive salaries commensurate with experience. The hiring range for this position is $55,000-65,000
