The Senior Administrative Coordinator for the Vice President, Philanthropy is a key member of the Philanthropy Department and will help to drive fundraising and engagement success. The Senior Administrative Coordinator is responsible for supporting the Vice President to raise funds for Trust for Public Land’s mission. Senior Administrative Coordinator will ensure the smooth functioning of the day-to-day operations within the Vice President’s team, including oversight of special projects, planning and support of the Volunteer Leadership Committee, liaising with the President’s and Chief of Philanthropy’s offices, and creating/maintaining processes and communications to ensure an integrated philanthropy team. This position reports directly to the Vice President for Philanthropy.

Responsibilities:


General Administration:
40% Provide administrative support for the Vice President for Philanthropy, including scheduling meetings and conference calls, plan logistics for meetings, generate and compile collateral materials; internal communications, periodic travel arrangements, calendar management, ClearView portfolio management, and specific projects as assigned. Liaison with the Senior Philanthropy Leadership and Executive Team, specifically President’s office:

Project Management and Leadership Coordination:
25% Work closely with the Senior Philanthropy Team on managing key elements of special Philanthropy projects, including internal and donor communications, agendas, deliverables, and deadlines. Tasks will vary according to project needs.

20% Develop and manage learning opportunities for philanthropy colleagues to share knowledge and develop strategies, such as lunch and learns and donor strategy sessions.

Donor Related Materials and Communications:
10% In collaboration with the Vice President for Philanthropy, closely monitor activity of Vice President’s portfolio and serve as a contributor in the development of proposals, reports, and stewardship in collaboration with Donor Relations.

National Board Committee Support:
5% Work closely with Vice President for Philanthropy to support the National Board of Director’s Volunteer Leadership Committee by managing meeting logistics, creation of materials and coordination with Chief Philanthropy Officer’s and President’s Office, as needed


Qualifications

  • 3-5 years of experience providing leadership level administrative support, preferably within a fundraising program.
  • Computer proficiency with various Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams) and with complex databases or donor management software.
  • Self-motivated with a proven ability to work autonomously and problem solve.
  • Exceptional organizational and planning skills and excellent attention to detail and deadlines.
  • Superior written and oral communication skills.
  • Experience with events and working with volunteers and/or constituents preferred.
  • Demonstrated ability to function effectively as a member of a team, ensuring close coordination and integration with other staff members.
  • Understands and ensures ethical compliance with fundraising best practices, as defined by the Association for Fundraising Professionals.
  • Interest and commitment to Trust for Public Land’s mission
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
  • Willingness to work flexible hours and to travel occasionally.

Compensation
Trust for Public Land is a hybrid work environment; the Senior Administrative Coordinator, Philanthropy will ideally be located near a Trust for Public Land office. As a full-time exempt employee, you will be eligible for the Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, three weeks of vacation annually plus holidays, and a 403(b) retirement plan, currently with an up to 7% company match. We offer competitive salaries commensurate with experience; the hiring range for this position is $65,000 - $75,000.
